Pay Period Calendar & Pay Details Configuration
Payroll > Group Data > Pay Period Calendar
Pay Period Calendar is intended to be built out for the entire year
- Either SCHOOL YEAR or CALENDAR YEAR
Based on the Compensation Year – it can be different by group. Some can be School year and Others can be Calendar year
- Based off Employment Contract for each group
You had to load them all upfront – the system needs to know the total days entered here. Helps with calculations and how many days are left
NOTE: If the below is not configured – Pay Period Calendar MUST be configured for the entire year.
- If = YES, system will calculate work days configured here > total of SUM of Pay Period days
- If = No, system will calculate SUM of Pay Period Days
Taxation Purpose: Number of Pay Period remaining in the Year (S1 Factor)
- Uses this to figure out your annualized taxable income
Unpaid Days are defined under Payroll > Group Data > Pay Exception Calendar
These days are subtracted from the Pay Period defined under Pay Period Calendar
The NET Working Days are shown under Pay Period Calendar below
ISSUE: How to optimally configure Pay Period Calendar for the school year?
Ensure each group is properly going to be configured for School Year or Calendar Year
- According to Employee Contract negotiation for each group
ISSUE: How to configure multiple Pay Models?
The idea of this is to have 2 different pay run models that can be run back and forth for a Group – perhaps one has additional Benefits & Deductions, and the other does not.
USECASE: Sometimes one pay has additional Benefits/Deductions (beginning or mid month) while the other does not. Simple method of configuring a Model for each Pay
- Pay 1 – with additional Benefits/Deductions
- Pay 2 – without
Shown below under Pay Period Calendar, which Pay is which model
Payroll > Group Data > Pay Details
Here is where you configured different pay models for anything that is not consistent
- Allows customization for periodic payroll modifications, fees, deductions, benefits, garnishments
Additional Examples: Second pay of January the OCT Fee comes out for Teachers.
Pay Model Naming Convention is important since Model Name is short and Description is not available beside it
- Having effective naming conventions that means something to your board will result in efficiency gains
Copy functionality allows you to copy a Pay Model to create a newly Named Set that you can then add further configuration to
Configure additional changes by filtering for the Newly named set
